• Payment information processed through Acuity Scheduling / Stripe (we do not store your full card details)

• Website usage data including pages visited, time spent, and device type (via Squarespace analytics and cookies)

• IP address and browser type

• Booking and scheduling data collected through Acuity Scheduling

Health Information

Oracle Aura Holistic Co. is a private wellness and kinesiotherapy practice. We collect health information solely for the purpose of providing safe, informed, and personalized services. Your health information is kept strictly confidential and is not shared with third parties except as described in Section 4 below.

Please note: Oracle Aura Holistic Co. is not a covered entity under HIPAA as defined by the U.S. Department of Health and Human Services. However, we treat your health information with the same degree of care and confidentiality as a standard healthcare practice and maintain session records for a minimum of seven (7) years following your last session.

Information Sharing

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

• With service providers who assist us in operating our website (Squarespace), booking system (Acuity Scheduling, Stripe), and virtual session delivery (Zoom), who are contractually bound to protect your information

• With your referring physician or healthcare provider, with your consent

• If required by law, court order, or to protect the safety of any person

• In the event of a medical emergency, to emergency services as necessary

Section 5

Virtual Sessions & Video Platform

Some services, including virtual private sessions, are delivered using Zoom. When you book a virtual session, your name and email address are shared with Zoom to generate and send your session link, consistent with Zoom's own privacy and security practices. We do not record virtual sessions unless you are notified and asked for consent in advance. Zoom's handling of your information during a call is governed by Zoom's own privacy policy.

Section 6

Phone Communications

Our publicly listed business phone number is a Google Voice number. Calls and voicemails to this number are managed through Google Voice and are subject to Google's own privacy policy. We use this number to communicate with you about bookings, services, and general inquiries; we do not use it for unsolicited marketing calls or texts.

Section 7

Cookies & Website Tracking

Our website uses cookies and similar tracking technologies to improve your browsing experience and analyze website traffic. Squarespace, our website platform, may set cookies automatically. You may adjust your browser settings to refuse cookies; however, some features of our website may not function properly as a result.

We do not use third-party advertising cookies or sell your browsing data to advertisers.

Payment Security

All payments are processed securely through Stripe via our Acuity Scheduling system. Oracle Aura Holistic Co. does not store, view, or have access to your full credit card or bank account details. Stripe's privacy policy and security practices govern the handling of your payment information.

Your Rights & Choices

You have the right to:

• Request access to the personal information we hold about you

• Request correction of inaccurate information

• Request deletion of your personal information, subject to our legal recordkeeping obligations

• Opt out of marketing communications at any time by replying "Unsubscribe" or contacting us directly

• Request a copy of your session documentation

Section 10

Data Retention

We retain client records, including session notes and health information, for a minimum of seven (7) years following your last session, in accordance with standard wellness and allied health practice guidelines. Website usage data is retained as determined by Squarespace's data retention policies.

Section 11

Children's Privacy

Oracle Aura Holistic Co. warmly welcomes clients of all ages. For clients under the age of 18, a parent or legal guardian must be present during the session (in person or virtual) or, for group programming, must complete a minor client consent and liability waiver before services begin. For children under the age of 13, a parent or legal guardian must provide written consent and remain present for the duration of all sessions. Oracle Aura Holistic Co. does not collect personal information directly from children under 13 through our website, in accordance with COPPA. All information for minor clients is collected through the parent or guardian.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this policy periodically. Your continued use of our website or services after any changes constitutes your acceptance of the updated policy.
